How to add an email signature in Outlook
Outlook keeps signatures per account and can add one to new emails, replies or both. The steps differ a little between the new Outlook, the web and the classic desktop app.
New Outlook for Windows and Outlook on the web
- 1In the signature generator, click Export > Copy signature.
- 2Open Outlook on the web or the new Outlook app, then Settings > Account > Signatures.
- 3Click New signature and give it a name.
- 4Paste into the box (Ctrl+V, or Cmd+V on a Mac).
- 5Under Select default signatures, pick it for new messages and replies/forwards.
- 6Click Save.
Classic Outlook for Windows
- 1In the signature generator, click Export > Copy signature.
- 2In Outlook, open File > Options > Mail > Signatures.
- 3Click New, name it, and paste into Edit signature.
- 4Set it for New messages and Replies/forwards, then click OK.
Outlook for Mac
- 1In the signature generator, click Export > Copy signature.
- 2In Outlook, open Outlook > Settings > Signatures.
- 3Click +, name the signature and paste it in.
- 4Pick it for New messages and Replies/forwards, then close the window.
If something looks off
Corners are square in classic Outlook
Classic Outlook for Windows draws with Microsoft Word and ignores rounded corners. Everything else stays in place, and other inboxes still show the corners.
The banner shows as a solid colour
Some versions of classic Outlook skip background pictures. The generator sets a matching solid colour underneath, so your banner text stays readable.
Nothing pastes, or it pastes as plain text
Click Copy signature again right before pasting, and paste straight into the signature editor rather than into a new email first.
